Preparing for 2018 Open Enrollment Checklist

Now is the time to continue account tune-ups and educate clients and staff about the importance of active plan renewals.

1. Focus on client engagement and education.

  • Make sure clients are aware of this year’s Open Enrollment dates.
  • Start scheduling enrollment sessions.

2. Educate clients and staff about the importance of active plan renewals.

  • If a client does not log in and actively choose a plan, they will be automatically re-enrolled in their current plan on Dec. 15, the last day of Open Enrollment.
  • If a client’s plan is no longer available this year, they will be auto-enrolled into a different plan with a similar premium.
  • Plan details can change, and so can people’s health needs. Clients should actively compare plans to avoid getting auto-enrolled into a plan that may not be the best option for their health needs.

3. Continue with account tune-ups.

  • Make sure clients can log into the Marketplace, and update account details.
  • Use our Preparing for Your Enrollment Visit worksheet to help clients get ready to enroll.
  • Make sure clients do not have any unpaid premium payments.
  • Ensure that clients who received Advance Premium Tax Credits have filed their 2016 federal tax return.
  • Confirm enrollment in ADAP or other RWHAP premium/cost-sharing assistance.

4. Finalize staff schedules, and prepare to train staff on plan options.

  • In most states, plan information will be released close to Nov. 1.

Contact your state ADAP coordinator to learn which plans are recommended and/or eligible for additional financial assistance through the Ryan White HIV/AIDS Program.

When will the enrollment website be open?

During the Open Enrollment Period, HealthCare.gov will be down periodically for scheduled maintenance. This is unprecedented.

Outlined below is a general schedule for planned downtime.

  • Wednesday, November 1, 2017 - overnight
  • Sundays 12am-12pm ET, except on Dec. 10, 2017

The duration of the outages are the maximum amount of time allowed for the maintenance. Actual outage times could be shorter.
